The software that we use are updated frequently. There are a few tips that can help you minimize the effort and resources required to maintain software training. By following these tips, you can ensure that your training stays relevant and up to date. This is especially important as software changes frequently. My name is Lokesh, and I am the co-founder of Check N Click, a leading provider of e-learning solutions for SaaS software enterprises.

Here are a few tips that I’ve gathered while working in this industry for over 17 years:

  1. First, Focus on foundational concepts: Along with focusing on specific features and functionalities, emphasize the underlying concepts and principles that remain relevant even as the software evolves. This can help reduce the need for frequent updates to your training materials.
  2. Next, Use modular design: Break your training materials into modular components that can be updated independently of one another. Avoid including slide numbers in your presentations to reduce discrepancies that may arise when plugging in new content into modular videos. Another strategy is to design a curriculum that includes several micro and nano learning modules on topics that frequently get updated.
  3. Third tip is to Solicit feedback from the learners: Offer learners an easy way to provide feedback on the relevance and effectiveness of training videos. For instance, you can include a “Report Obsolete Content” button in your LMS that allows learners to flag any videos that are in need of updates.
  4. Fourth tip requires you to Participate in daily sprint meetings: If you’re using agile project management to develop and update the software, make sure to attend daily sprint meetings to stay informed about which features are being added, removed, or updated. This will help you anticipate changes to the software and adjust your training materials accordingly.
  5. Fifth tip is to Work closely with software product managers and developers: Establish a close working relationship with the software product managers and developers to stay informed about upcoming changes to the software. This will help you plan for necessary updates to your training materials and ensure that your learners are always equipped with the latest knowledge and skills.
  6. Finally, you can consider releasing “What’s New” training videos that highlight any changes in the software as soon as they’re made available. This will give learners an early insight into the updates. In addition, such videos give you a buffer time to plan and release updates to your larger training curriculum.
